# Run a View's exports on a schedule

> Set up a Scheduled Export automation to send a View's exports to a database, SFTP, Google Sheets or email at fixed times, whether or not the data changed.

A Scheduled Export automation runs export steps you have already added to Views (a database, SFTP, Google Sheets, email and so on) at fixed times, whether or not the data changed. Create one from **Automations** > **New automation** > **Scheduled Export**, under **Send data out**, or with **Send it on a schedule** on an export. It has no plan feature of its own: each export it runs is checked against its destination's plan access when it runs.

## How Scheduled Export works

Scheduled Export doesn't create exports. It runs export steps that already exist on Views in the project. Each one runs exactly as it does after a data update: same destination, filters and columns.

- An export in a Scheduled Export still runs after its data updates too, unless you turn that off on the export.
- One automation can run several exports on the same schedule.
- The scheduler offers only the units your plan's refresh frequency allows. See [Plan limits on how often an automation runs](https://mammoth.io/docs/learn/automate/schedules-and-triggers/#plan-limits-on-how-often-an-automation-runs).
- An email export's **Send at most** setting only limits sends after data updates. A Scheduled Export still sends the email on its own schedule.

Use it to send a table to a warehouse or an SFTP drop every morning on a timetable the receiving team relies on, or to re-send an export when the source data changes rarely.

### Scheduled Export or Messaging

Both are under **Send data out**. Messaging emails a View as a CSV attachment. Scheduled Export runs any export step, including an email export, on its own schedule. See [Send messages](https://mammoth.io/docs/learn/automate/messages/).

## Before you start

Add an export step to a View in the project first. See [Send data to a database or BI tool](https://mammoth.io/docs/learn/share-and-export/send-to-destinations/). If there are none, the **Which exports** step shows **No exports to schedule yet** with the hint "Add an export step to a view in this project (SFTP, a database, Google Sheets, email…), then come back."

## Set up a Scheduled Export automation

1. Open the **Automations** tab in the Data Library and click **New automation**.
2. Under **Send data out**, click **Scheduled Export**.
3. In the **Select exports** step (**Which exports**), tick the export steps to run. Each is listed by its destination and name, such as a database or **Live link** export.
4. In the **Set Schedule** step, pick **Day**, **Week**, **Month** or **Year** and the number next to **Repeat every**. Set the **First run**, and optionally click **+ Add end date**. There is no **Manual only** option. See [Schedules and triggers](https://mammoth.io/docs/learn/automate/schedules-and-triggers/).
5. In the **Review & save** step, check the name and edit it if you like. When you pick one export, Mammoth suggests a name from it, such as "Overdue invoices to SFTP", or "Overdue invoices by email" for an email export.
6. Click **Save automation**.

## Read a Scheduled Export in the Automations list

The automation appears with type **Scheduled Export** and status **Active**. Its summary shows the schedule and how many exports it runs, such as "Every week on Monday at 9:00 AM: 2 exports". A **Sends:** line names each export by destination and name, such as SFTP "Daily orders".

You can suspend, resume, run now, edit (exports, schedule, name, description) or delete it like any other automation. See [Manage automations](https://mammoth.io/docs/learn/automate/manage/).

## See and change the schedule from the export step

Open the export step in the View's pipeline. Its **When it runs** box lists each Scheduled Export that runs it, with the schedule, the automation's name and the next run.

- Click **Change in Automations** to edit the automation.
- Clear **Also send after each data update** if the export should send only on the schedule.

If an export's data is never refreshed on its own, the box offers **Send it on a schedule**. It starts a new Scheduled Export with that export already ticked. See [Send data to a database or BI tool](https://mammoth.io/docs/learn/share-and-export/send-to-destinations/).

### Exports that had their own schedule

An export that used to keep its own schedule now runs from a Scheduled Export automation on the same schedule. Its form shows **This export's schedule moved to Automations**, with **Keep the schedule** or **Run after each data update instead**.

## Troubleshooting

| Symptom | Cause | Fix |
| --- | --- | --- |
| **No exports to schedule yet** | No View in the project has an export step | Add an export step to a View, then come back |
| An export shows as **(deleted)** | You deleted the export step after scheduling it | Edit the automation and remove it, or pick another export |
| **Couldn't load this project's exports. Close this and try again.** | The exports failed to load | Close the window and start the automation again |
| The export also sends after every data update | **Also send after each data update** is still ticked on the export | Clear it in the export step's **When it runs** box |
