# AI Agent access

> Workspace Owners set up the Mammoth AI Agent: Ask mode, downloads, guests and their limits, Slack, email, intelligence levels, requests and usage.

The **AI Agent** page in Workspace Settings controls who in your workspace has the AI agent, what it may do, and who outside your team can ask it questions. This page is for Workspace Owners. The AI Agent and Ask mode are available on Enterprise plans.

## Open the AI Agent page

1. Open **Settings** from the bottom of the left sidebar.
2. Click **AI Agent** in the list of sections.

Only Workspace Owners see **AI Agent** in Settings and can change it ("Workspace owners only, for now"). Anyone else who opens its address is sent to the home page.

Once Ask mode is on, the top of the page sums up the state, for example "3 people given access · 1 request waiting", and the page has three tabs: **Settings**, **Presets** and **What people ask**.

## Enable agents for this workspace

The first switch, **Enable agents for this workspace**, covers every agent in the workspace. When it's off, no one has an agent: not you, your team or the people you invited. Everything below it is kept, greyed out, for when you turn agents on again.

Turning it off asks "Turn off agents?" and warns that everyone loses their agent while it's off, including people you invited. Their access comes back when you turn agents on again.

## Settings tab

The settings are a numbered list. Each one is a switch with a short explanation.

| Setting | What it does | Default |
| --- | --- | --- |
| **Turn on Ask mode?** | Adds the **Ask · Build** switch for everyone who has the agent. Ask only answers and never changes data. Looking through rows in Explore comes with it, unless a preset turns Explore off. Each person sets their own email digest in **Ask › Your agent**. | Off |
| **People can download data** | Under Ask mode. Lets people download a CSV of a table in an answer, or of rows they filter in Explore. This is the workspace limit: each guest's invite can still say no. | On |
| **Invite guests?** | Lets you give access to people who can't open the data. Guests join free, never take a seat, see only Ask, and read only the projects and files you pick for them. Shown when Ask mode is on. | On |
| **Answer in Slack?** | @Mammoth answers in your Slack channels and DMs, only for people who can already ask here, with their own access. Shown when Slack is set up for your Mammoth server. | Not connected |
| **Let people email the agent** | People in this workspace can email agent@mammoth.io and get answers by email. | On |
| **Intelligence** | How much thinking the agent does before it answers. | Fast |
| **Who can change this page?** | Read-only: "Workspace owners only, for now". | |

With Ask mode off, only people who can edit a project have the agent, in Build, for the projects they edit.

Each change saves at once ("Saved."). If it can't, you see "That change couldn't be saved. Try again."

### What turning a switch off does

| Switch | Confirmation | Effect |
| --- | --- | --- |
| Ask mode | "Turn off Ask mode?" | People given access lose Ask while it's off. Their access is kept and comes back when you turn it on. |
| **People can download data** | "Turn off downloads?" | No one can download data, including guests who could before. |
| **Invite guests?** | "Turn off guests?" | People given access lose Ask while it's off. Their access is kept. |
| Email | "Turn off email?" | People can no longer email the agent, guests included. |

### Guests

Under **Invite guests?** you find:

- **Invite to Ask**: starts an invite (see [Invite someone to Ask](#invite-someone-to-ask)).
- **People with Ask**: everyone given access, with columns **Person**, **Can ask about** and **Added**.
- **Questions per guest each month**: the monthly limit for each guest. It starts at 200 and takes a whole number from 1 to 100,000 ("Enter a whole number from 1 to 100,000."). Members aren't limited here. Slack questions count too.
- A usage line, for example "Calendar month so far: 120 guest questions", and how many people with access are at or near their limit.
- **Who can invite**: "Workspace owners only, for now".

Each person in **People with Ask** is marked **Member**, "Not a member · free" (a guest who joined), "Invited · free", "Invited · their page is ready", or "Preparing their first page · the invite goes out when it's ready". A member's row adds "plus their own access".

| Action | What it does |
| --- | --- |
| **Preview** | Opens Mammoth as that person sees it, so you can check their access |
| **Edit** | Opens "Edit access for Pat Lee" to change what they can ask about |
| **Send now** | Sends the invite without waiting for their first page. Shows **Try again** if sending failed |
| **Remove** | Asks "Remove access". They can no longer ask the agent about these files. Their chats stay |

With no one yet, the list reads "No one yet. Give access to people who should ask about data they can't open."

### Intelligence

| Option | What it does |
| --- | --- |
| **Default level** | What a new chat starts with. A person's own choice sticks for them. |
| **Levels people can choose** | Tick the levels on offer in the chat box. The default level stays on: pick another default to turn it off. |

| Level | Hint shown |
| --- | --- |
| **Fast** | Quick answers and simple changes |
| **Balanced** | Everyday analysis and pipelines |
| **Expert** | Hard problems; slower, thinks longer, can take several minutes |
| **Auto** | Plans with Expert, works with Fast |

## Invite someone to Ask

Click **Invite to Ask**. The dialog walks you through steps, with "Step 2 of 6" and the step's name at the top.

| Step | What you do |
| --- | --- |
| **Who** | "Who should be able to ask?" Add one or more emails or names. Someone new to Mammoth joins free and sees only Ask. |
| **Start with** | Pick a preset, or **Start from scratch** ("Pick the data, then what they see first."). Add a **Welcome note (optional)**. Shown when the workspace has presets. |
| **What they can read** | Tick the projects, folders or files they can ask about. A ticked project includes files added to it later. |
| **What they can do** | "They can ask questions, get answers, charts and summaries, and look through the rows in Explore." It also says whether they can download data. Change it under **Customize**. |
| **What they'll care about** | The agent drafts a **Welcome note** and **Starting questions** from the files you picked. Edit anything, or leave it as drafted. **Add a question** adds another. |
| **Preview and send** | "See it as Pat, then send." Shows the invite email and their digest. Click **Send invite**. |

With a preset picked, the steps are **Who**, **Start with** and **Preview and send**.

People not yet in the workspace get the message that they'll join free, see only Ask, and get an email with example questions. The invite goes out as soon as their first page is ready, within a few minutes. If the agent can't draft a welcome, you see "The agent couldn't draft a welcome this time. Write your own, or leave it empty."

## Give or edit access

**Edit** on a person opens the access panel.

| Part | What it does |
| --- | --- |
| **People** | Emails or names. Typed addresses not in the workspace become new guests. |
| **About** | The projects, folders and files they can ask about. A ticked folder includes datasets added to it later. |
| **They get** | **Can download data**, on or off. |
| Summary | "They'll be able to ask questions and get answers, charts and records from these 3 files. They can't open the files or change anything." |
| **Preview as one of them** | Opens Mammoth as one of these people sees it. |
| **Remove access** | Only when editing. Removes their access. |
| **Give access** or **Save** | Saves. |

A person given a preset shows "Given Clinic managers · access follows the preset", and **Reset to Clinic managers** puts their access back to the preset.

If someone could already open the project, nothing changes for them: "pat@example.com could already open the project, so nothing changed for them." Access can only be given while Ask mode and Invite guests are both on.

## Requests

Below the settings, **Requests** lists what people sent you, with columns **From** and **Request**. A count shows how many are waiting.

| Request | Actions |
| --- | --- |
| "Wants to ask about Finance" or "Wants access to ask a question" | **Allow…** opens **Invite to Ask** with their request filled in, or their access panel if they already have access. **Decline** asks to confirm: they are told the request was declined. |
| "Asked for a change" to a file | Open the file (the button is named after it), **Decline**, or **Done** |
| "👎 an answer", with their comment | **Add to project context** adds the comment to the project's context. **Dismiss** closes it. |

With nothing waiting, it reads "No requests right now."

## Slack

When Slack is set up for your Mammoth server, **Answer in Slack?** shows **Connect your Slack** and **Connect Slack**.

After you connect, it shows "Connected to Acme's Slack" and who connected it, with **Disconnect**. Then:

- **Link my Slack account**: gives you a code to send to @Mammoth in a DM, so Slack knows who you are. The code expires after a few minutes.
- **Where @Mammoth answers**: the channels it's in, and **Direct messages** for **Anyone**. Add @Mammoth to a channel from Slack (`/invite @Mammoth`). A channel shared with another company shows "Another company · Slack Connect".
- **Waiting for access**: Slack users who asked but can't ask in Mammoth yet. **Give the same access as Pat Lee** copies another person's access, **Choose…** opens an invite, and **Decline** turns them down.

@Mammoth answers only people who can already ask in Mammoth. It matches each Slack user to a person by email and answers with that person's access. Anyone else gets a reply only they can see, and waits in this list. Questions in Slack count toward each person's monthly limit, as in the app.

## Presets tab

Presets are ready-made Asks to pick when you invite someone. They get a copy to make their own. A preset sets up the data, a Today page, Explore files and snippets once.

- **New preset**: give it a **Name** (for example "Clinic managers") and click **Continue**.
- Each preset shows how many people follow it, with **Edit**, **Duplicate** and **Delete**.
- Editing a preset changes access for the people following it. Duplicating moves nobody over.
- Deleting asks to confirm. People given it keep their access and what was copied to them.

## What people ask tab

This tab shows the questions people asked in Ask mode, for example "120 questions from 14 people who asked in the last 30 days" (the period is shown on the page), and how fast answers arrive (**Today pages served ready, median**, **New questions, median**, **Answers ready before anyone asked**). Members are counted here, never named.

- Questions are grouped, with how often they were asked, rephrased, or not answered, and a **Confusing** badge where answers went wrong.
- **Verify** marks an answer as right. A verified answer runs on each person's own data and shows in their **+ Add a tile**. **Undo** removes it. Only people who can edit the project an answer reads from can verify it.
- When the shared data can't answer a question yet, a **Proposal** suggests pipeline steps that would. **Build it** sends it to the agent in Build, **Edit first** puts it in the agent chat for you to change before sending, and **Not now** hides it.

## Who can ask the agent about a project

Workspace Owners also see this from the project. Open a project's **Share** or **Manage Users** window: **Can ask the agent about it** lists people who can ask the agent about the project's data without opening it. They don't take a seat. Click **Give access…** to add someone, or **Manage in AI Agent settings** to come back here.
