# Profile settings

> Open Profile Settings to change your name and picture, reset your password, pick a color mode, manage cookies, and link email addresses to the agent.

Your **profile** is your personal Mammoth account. It follows you across every workspace you belong to. **Profile Settings** is where you change your name, picture, password and display preferences.

Workspace-wide settings (users, plans, API keys) live in **Workspace Settings** instead. See [Workspace settings](https://mammoth.io/docs/learn/workspace-management/workspace-settings/).

## Open Profile Settings

1. At the bottom of the left sidebar, click your name or picture (the **My account** menu)
2. Click the gear icon next to your name and email

On a phone, tap **Profile Settings** in the account menu instead.

The **Profile Settings** dialog opens. It shows your picture (or your initials), your name and your email address, with an **Edit profile** button. Below that are the **Email the agent**, **Security** and **Preferences** sections, and at the bottom the **Leave workspace** and **Delete profile** buttons.

## Edit profile

Change the name and picture other people see next to your work.

1. In **Profile Settings**, click **Edit profile**
2. Change **First Name** and **Last Name**
3. To add or replace your picture, click **Upload picture** and choose an image. To remove the current picture, click the **x** on it
4. Click **Save changes**

| Field | Rules |
| --- | --- |
| **First Name** | Required. Up to 35 characters (the box stops accepting more). Letters (any alphabet), spaces, full stops, apostrophes and hyphens only. Other characters show an error and keep **Save changes** turned off |
| **Last Name** | Same rules as **First Name** |
| **Upload picture** | A JPG, JPEG or PNG file, up to 50 MB. A file name with more than one dot (for example `me.final.png`) is refused |

Click the back arrow to return without saving.

## Change your password

Change your password while you're signed in. If you've forgotten it, use the reset link on the sign-in page instead (see [Password reset](https://mammoth.io/docs/learn/security-overview/authentication/#password-reset)).

1. In **Profile Settings**, under **Security**, find the **Password** row and click **Reset password**
2. Under **Current Password**, enter your current password
3. Under **New password**, type the new password, then type it again in **Confirm new password**
4. If you have two-factor authentication on, enter the 6-digit code from your authenticator app in **OTP**
5. Click **Save changes**

The new password must follow the rule shown on screen: "Use 12 or more characters with a mix of letters, numbers and symbols (except " and \\)." A strength checker under the fields turns **Save changes** on once the password qualifies.

**Expected result**: A "Password successfully reset" message appears.

| Message | What it means |
| --- | --- |
| "New password can't be the same as the old password" | The new password matches your current one. Pick a different one |
| "The passwords do not match" | The two new-password fields differ |
| "Invalid password" | The current password is wrong |
| "Invalid password or OTP" | With 2FA on: the current password or the code is wrong |

## Two-factor authentication

The **Two-factor authentication** row under **Security** shows **Enable 2FA**, or **2FA Enabled** once it's on. Personal 2FA depends on your workspace plan, and once you turn it on you can't turn it off. See [Two-factor authentication (2FA)](https://mammoth.io/docs/learn/security-overview/authentication/#two-factor-authentication-2fa) for the steps and which plans include it.

## Color mode

Under **Preferences**, **Color mode** sets how Mammoth looks.

| Option | What it does |
| --- | --- |
| **Light** | Always uses the light theme |
| **Dark** | Always uses the dark theme |
| **System** | Follows your computer's light or dark setting |

The change applies as soon as you click an option.

## Cookies and privacy policy

Under **Preferences**:

| Row | Button | What it does |
| --- | --- | --- |
| **Cookies** | **Cookie preferences** | Opens the cookie consent manager, where you choose which cookies Mammoth may use |
| **Privacy policy** | **View privacy policy** | Opens Mammoth's privacy policy in a new tab |

If an ad blocker stops the cookie manager from loading, Mammoth shows: "It looks like you are using an ad blocker. Please disable it on this page to manage your cookie preferences."

## Email the agent

The agent is available on Enterprise plans.

You can email files and questions to the agent at **agent@mammoth.io** and it replies in the same thread. The agent only answers addresses you've linked to your profile. The **Email the agent** section in **Profile Settings** manages those addresses.

### Link an email address

1. In **Email the agent**, click **Add another address** (the address box is already open if you have none)
2. Enter the address in **Email address** and click **Send link**
3. Open the email Mammoth sends to that address and click the link
4. On the page that opens (for example **Link sam@example.com to the agent**), pick the **Workspace** (shown when you belong to more than one) and the project under **Save files from email in**, then click **Link this address**

While you wait, the address shows "Waiting for you to confirm" with a **Resend** button. Once confirmed, it shows a **Linked** tag.

You can also start from the other side: email agent@mammoth.io from a new address and the agent replies with a link to the same page. When that email carried a file, the button reads **Link and start on my file**.

### Choose where the agent works

Once you have a linked address, two pickers appear:

| Option | What it does |
| --- | --- |
| **Workspace the agent works in** | The workspace the agent uses for every linked address |
| **Save files from email in** | The project where files you email are saved. Changing the workspace picks that workspace's first project until you choose another |

If you're a guest in the chosen workspace, there's no project picker. Instead you see: "You're a guest here, so the agent answers questions from the data shared with you. Files you email open in your own workspace."

### Other actions

| Action | What it does |
| --- | --- |
| **Copy** | Copies the agent's address |
| **Unlink** | Removes a linked address. The agent stops answering it |
| **Resend** | Sends the confirmation link again to an address that's waiting |

### Link page messages

| Title | What to do |
| --- | --- |
| **Link expired** | Email agent@mammoth.io again for a new link |
| **Link already used** | Email agent@mammoth.io again for a new link |
| **Wrong account** | The link is for another Mammoth account. Click **Switch account** and sign in as that account |
| **No workspace to answer you in** | Ask to be added to a Mammoth workspace, then open the link again |
| **Something went wrong** | Click **Try again** |

## Leave workspace and delete profile

The footer of **Profile Settings** has two buttons:

- **Leave workspace**: removes you from the current workspace. You lose access to all its projects
- **Delete profile**: permanently deletes your profile and data

Both open a confirmation flow. See [Leave a workspace](https://mammoth.io/docs/learn/workspace-management/workspace-settings/#leave-a-workspace) and [Delete your profile](https://mammoth.io/docs/learn/workspace-management/workspace-settings/#delete-your-profile) for what each one asks.

## Log out

Open the **My account** menu at the bottom of the left sidebar and click **Log out**.
