Set up AI Agent access, Ask mode and Slack
The AI Agent page in Workspace Settings controls who in your workspace has the AI agent, what it may do, and who outside your team can ask it questions. Only Workspace Owners see it and can change it ("Only workspace owners can change this page or invite guests."). The AI Agent and Ask mode are available on Enterprise plans.
Open the AI Agent page
- Open Settings from the bottom of the left sidebar.
- Click AI Agent in the list of sections.
Anyone else who opens its address is sent to the home page.
While agents and Ask mode are on, the top of the page sums up the state, for example "3 people given access · 1 request waiting". The page then has four tabs, each with one job:
| Tab | What it's for |
|---|---|
| Settings | The switches: agents, Ask mode, downloads, guests, Slack and email |
| People | Who can ask, and which room each person is in |
| Rooms | What each room sees: its data, Today page, Explore files and snippets |
| Activity | Requests that need you, and what people asked |
When Ask mode is off, the page shows only the switches.
Turn agents on or off for the workspace
The first switch, Agents, covers every agent in the workspace: "Off turns the agent off for everyone. Nothing is deleted." When it's off, no one has an agent: not you, your team or the people you invited. The other switches and tabs are hidden, and the page reads "When agents are back on, your people, rooms and these switches come back as they were."
Turning it off asks "Turn off agents?" and warns that everyone loses their agent while it's off, including people you invited. Their access comes back when you turn agents on again.
While agents are off, the Agent item leaves the sidebar. Anyone who opens an agent page sees Agents are off in this workspace:
| Who | What they read |
|---|---|
| You (the owner who turned it off) | "You turned agents off for everyone in this workspace. Your settings and the access you gave are kept." with Open AI agent settings |
| A member | "The workspace owner has turned agents off, so there is no agent here for now. Everything else works as before." |
| A guest | Ask is off in this workspace right now: "The owner of this workspace has turned Ask off. What was shared with you is kept, and you can ask again as soon as it's back on." |
A guest also sees Ask is off in this workspace right now when you turn off Ask mode or Guests.
Who has the agent, with Ask mode on or off
The agent works as each person, with their own access. What it may do is worked out per project, from what that person can do there.
| Person | Ask mode off | Ask mode on |
|---|---|---|
| Can edit the data in a project | The agent in Build, for the projects they can edit. It can change data there, after their OK | The same, plus Ask |
| Can only view a project | No agent for that project. Someone who can view projects but edit none has no agent | Ask and Explore on that project. The agent answers and never changes data |
| A member with no project yet | The agent, at the level their role allows | The same |
| A guest you gave access to | No agent | Ask only, about the data in their room. They can't open the files or change anything |
Access you give never lowers what a person's own role already lets them do. Guests lose Ask while Ask mode or Guests is off: their access is kept and works again when both are on. Only Workspace Owners can change this page or give access.
When someone's access was removed, the agent tells them who removed it, for example "Your access to Finance was removed by Pat Lee." Someone with no role in the workspace sees No access to this workspace: "You don't have access to this workspace. If you were invited, open the invite we emailed you; if your access was removed, ask the person who shared it with you."
Choose agent settings on the Settings tab
Each setting is a switch with a short explanation under it. Downloads sits under Ask mode, and Questions per guest each month under Guests.
| Setting | What it does | Default |
|---|---|---|
| Agents | Turns every agent in the workspace on or off | On |
| Ask mode | "An Ask · Build switch. Ask answers and never changes data." Looking through rows in Explore comes with it, unless a room turns Explore off. Each person sets their own email digest in Ask › Your agent | Off |
| Downloads | "CSV of an answer or of Explore rows. Each invite can still say no." This is the workspace limit. Turned off while Ask mode is off | On |
| Guests | "People outside the workspace. Free, Ask only, just the data you pick." Guests never take a seat. Shown when Ask mode is on | On |
| Questions per guest each month | The monthly question limit for each guest. "Today pages and emails don't count." Shown when Ask mode is on | 200 |
| Slack | @Mammoth answers in your Slack channels and DMs, with each person's own access. Shown when Slack is set up for your Mammoth server | Not connected |
| Email the agent | "Anyone here can ask at agent@mammoth.io." | On |
Under the switches: "Only workspace owners can change this page or invite guests."
With Ask mode off, only people who can edit a project have the agent, in Build, for the projects they edit.
Each change saves at once ("Saved."). If it can't, you see "That change couldn't be saved. Try again."
For guests and the monthly question limit, see Invite guests to Ask. For linking email addresses, see Your profile.
What turning a switch off does
| Switch | Confirmation | Effect |
|---|---|---|
| Ask mode | "Turn off Ask mode?" | People given access lose Ask while it's off. Their access is kept and comes back when you turn it on |
| Downloads | "Turn off downloads?" | No one can download data, including guests who could before |
| Guests | "Turn off guests?" | People given access lose Ask while it's off. Their access is kept and comes back when you turn guests on |
| Email the agent | "Turn off email?" | People can no longer email the agent, guests included |
Click Turn off to confirm, or Cancel.
Connect the agent to Slack
When Slack is set up for your Mammoth server, the Slack row shows Connect your Slack and Connect Slack.
After you connect, it shows "Connected to Acme's Slack" and who connected it, with Disconnect. Then:
- Link my Slack account: gives you a code to send to @Mammoth in a DM, so Slack knows who you are. The code expires after a few minutes.
- Where @Mammoth answers: the channels it's in, and Direct messages for Anyone. Add @Mammoth to a channel from Slack (
/invite @Mammoth). A channel shared with another company shows "Another company · Slack Connect". - Waiting for access: Slack users who asked but can't ask in Mammoth yet. Give the same access as Pat Lee copies another person's access, Choose… opens an invite, and Decline turns them down.
@Mammoth answers only people who can already ask in Mammoth. It matches each Slack user to a person by email and answers with that person's access. Anyone else gets a reply only they can see, and waits in this list. Questions in Slack count toward each person's monthly limit, as in the app.
See who can ask on the People tab
The People tab lists everyone given access, for example "3 people", with columns Person, Room and Added. Click Invite to a room to add someone; it's turned off while Guests is off ("Guests are off. Turn them on in Settings."). For the steps and each person's menu, see Invite guests to Ask.
Set up rooms on the Rooms tab
A room is a ready-made Ask you pick when you invite someone: "Everyone in a room sees the same data, Today page, Explore and snippets." You set up the data, a Today page, Explore files and snippets once.
- New room: give it a Name (for example "Clinic managers") and click Continue.
- Each room shows how many people are in it, for example "3 people in this room", with Duplicate and Delete in its menu.
- Changing a room changes access for the people in it: "This changes access for the 3 people in this room."
- Duplicate moves nobody over: the people stay in the original room.
- Delete asks to confirm. People in it keep their access and what was copied to them.
With no rooms yet, the tab reads "No rooms yet. Set up the data, a Today page, Explore files and snippets once, then pick the room each time you invite someone."
Answer requests and see what people ask on the Activity tab
The Activity tab shows a badge with the number of requests waiting.
Answer access requests
When something waits for you, Needs you lists it, with columns From and Request.
| Request | Actions |
|---|---|
| "Wants to ask about Finance" or "Wants access to ask a question" | Allow… opens Invite to a room with their request filled in, or their access panel if they already have access. Decline asks to confirm: they are told the request was declined |
| "Asked for a change" to a file | Open the file (the button is named after it), Decline, or Done |
| "👎 an answer", with their comment | Add to project context adds the comment to the project's context. Dismiss closes it |
See what people ask the agent
Below the requests, the tab shows the questions people asked in Ask mode, for example "120 questions from 14 people who asked in the last 30 days." It also shows how fast answers arrive: Today pages served ready, median, New questions, median and Answers ready before anyone asked. Members are counted here, never named.
- Questions are grouped, with how often they were asked, rephrased or not answered, and a Confusing badge where answers went wrong.
- Verify marks an answer as right. A verified answer runs on each person's own data and shows in their + Add a tile. Undo removes it. Only people who can edit the project an answer reads from can verify it.
- When the shared data can't answer a question yet, a Proposal suggests pipeline steps that would. Build it sends it to the agent in Build, Edit first puts it in the agent chat for you to change before sending, and Not now hides it.
